Recruiting & Hiring

Academic Personnel Recruiting Process

Recruiting for tenured/tenure-eligible faculty, continuing status eligible academic professional, lecturers, professor of practice and all other academic employees on a multi-year appointment are handled through the Dean’s Office.  For additional information or questions, please contact the Dean’s Assistant.

For all other year-to-year appointments and postdoctoral scholars, please contact the HR Manager in the Office of Human Resources for information or questions.

Faculty Associate and Graduate Assistant Hiring Process

Open recruitment for faculty associates on a semester appointment or graduate assistants are not required.  The Office of Human Resources team will send out information prior to the start of each semester to the school directors and their assistants for hiring these individuals.  The process outlined below can be used for hires at any point in the year and not just for hires processed at the start of the semester.

Approvals – Semester hires may require several approvals based on the funding source(s).  See table below:

HIring Rates – Below are the suggested hiring ranges for graduate assistants.

  • Graduate Research/Teaching Assistants (RA/TA):  $15,000-$18,000 per academic year based on a 50% assistantship
  • Graduate Service Assistants (GSA): $15,000-$18,000 per academic year based on a 50% assistantship

Staff Hiring Process

Staff positions can be recruited for and hired through a competitive process or through a waiver.  information on the approvals and processes for each of these is described below.

Competitive Recruitment

A competitive recruitment is when a position is posted on the ASU website and the candidate is selected through the posting.

Approvals – Actions will require Dean or Provost level approval.  The most common actions are represented below.  The Office of Human Resources team can assist with more specific scenarios not addressed.

Waiver of Recruitment

A waiver of recruitment is when a candidate is waived into a position without being posted on the ASU website.  Waivers should only be requested for short-term positions where the work needs to be completed before a competitive recruitment could be performed or for some high level, unique positions.  Waiver requests that do not meet this criteria will be processed as competitive recruitments.

Approvals – Dean level approval is required and units will need to provide justification for the waiver and identify funding source

Student Hiring Process (Hourly)

Postings for hourly student workers or stipend positions are required to fill or create a student work position (excludes Graduate Assistant positions).

Approvals – Student hires may require several approvals based on the funding source(s).  See table below:

Hiring Rates – Below are suggested hiring ranges for hourly student workers.

  • Undergraduate Hourly: $8.00 -$12.00 per hour
  • Graduate Hourly: $12.00 – $16.00 per hour

Out of State Hires

Departments are required to obtain approvals for any employees that are hired and who physically work out of the state of Arizona.  These employees are subject to all employment-related laws of the state in which they work.  Financial Services must be informed in advance of potential work arrangements outside of Arizona to be fully compliant with all state reporting, taxation, and employment regulations.  An administrative fee is assessed to departments that hire out-of-state employees to help defer the administrative costs related to reporting requirements.  Financial Services will charge departments a $50 quarterly fee for each out-of-state employee. The Office of Human Resources team can assist units with any questions.
